The Problem

You don't know why the last customer left.

The average dealer spends over $700 in advertising for every car sold.1 It costs that much because most of the spend bought customers who walked. The ten minutes that decided whether they walked went unrecorded.

One of these two conversations happened on your floor yesterday. You just don't know which.

The Gap

Your CRM misses it. Your DMS misses it. Your inventory tool misses it.

They all wake up after the deal exists. The money leaks before that, in the ten minutes when a customer tells your rep exactly how to close them and nobody writes it down. Entake is the net underneath.

Your DMS
Knows the money

It books the deal after the deal is done. It cannot tell you a thing about the one that walked.

Your CRM & inventory tools
Knows the pipeline

They track the lead and the lot. They start counting once the customer is already a record.

Entake
Catches what they drop

Reads the conversation while it is happening. Scores the buyer. Hands your desk the move before the customer walks.

Plenty of software tells you what your store did last month. Entake changes what it does in the next ten minutes.

The Install

Entake is a system. Not just software.

Every vendor swears your team will use their app. Then the seats go dark by month three and you are paying for a login nobody opens.

We install it. Then we are on the phone with you every week until your whole staff is running it. Not a check-in. A real call, until we are both sure it stuck.

We built this on a sales floor. We know what happens to software that nobody follows up on.

Week 1
We install it and set up your team.
Every week after
A real call. Not a check-in.
Until it sticks
We stop when your floor owns it, not when the calendar says so.
How It Works

Every deal runs the same loop.

A rep might open a coaching app. Every rep runs the CNA, because it is how they work the deal. Sixty times a month they rehearse the same structure.

01 · Capture

The rep captures the conversation

Every customer interaction runs through a structured CNA: mobile-first, on the lot, during the walk. Payment comfort, vehicle type, trade position, credit, timeline, objection pattern. Captured as data, not stored in memory.

  • 30+ structured buyer data points
  • AI vehicle recommendations based on profile
  • One-tap CRM push with the full buyer profile attached
02 · Control

The desk sees the deal posture

Every CNA is auto-scored for buyer intent and translated into deal strategy: payment pressure, equity position, decision friction. The manager sees the deal before the rep needs to ask for help.

  • Intent Index score on every active buyer
  • Plain-English deal summary, generated in real time
  • Live floor pipeline with priority sorting
03 · Coach

The rep comes back around sharper

Discovery breakdowns surface as coaching opportunities. The rep never opted into training. They ran the process, the process recorded where it broke, and the next conversation starts from a better place.

  • Live scenario practice on real objections
  • Rep-by-rep behavior visibility, not just close rate
  • Every lap sharpens the capture that starts the next one

Nobody has to remember to do any of this. It is the same conversation, going around, sixty times a month. See the Engine →

The Engine

Dealer-specific scoring. Built for the floor.

The scoring and insight algorithms behind every CNA, every coaching session, and every market view. Tuned around real showroom variables like payment posture, trade situation, and switch elasticity, not a generic intent model.

Intent Index
0–100 buyer intent scoring from multiple weighted signals.
Every CNA is automatically scored across 30+ points including payment feasibility, vehicle commitment, switch elasticity, time urgency, and behavioral signals. Your desk knows which buyers to prioritize before the deal escalates, not after it falls apart.
Auto-scored on every save
Deal Insights Engine
Auto-generated desk strategy from raw buyer data.
Equity position, payment pressure, decision friction, deal complexity, switch elasticity. Entake translates every CNA into a plain-English deal summary your desk can act on in seconds. No spreadsheet. No manager huddle. No "what did the customer actually say?"
Generated in real time
Entake Scoring Rubric
Behavior-level coaching insight, rep by rep.
Every System Coach session is scored across four specific pillars. Weighted, consistent, and objective. Managers see exactly where each rep is losing deals in practice, before they lose them on the lot.
Scored the same way every time
Demand Aggregator
Live demand patterns from your market, not last quarter's report.
Local market and regional demand patterns: trade rate, payment ranges, credit mix, vehicle preferences, plus many other key data points. Aggregated live from structured buyer data captured across your rooftops. Your 50-mile view. Your regional view.

Rep Adoption

The app reps use because it helps them sell.

Most software fails because management buys it and reps ignore it. Entake works in reverse: every feature is something a salesperson actually wants in their pocket on the floor. Management gets the data because reps get the value.

VIN scan gives them walkaround confidence

Pull any vehicle's full feature breakdown and a structured walkaround script in seconds. Reps sound like they've been on the floor for years, from day one.

CNA gives them a conversation that doesn't stall

Structured discovery, mobile-first, captured during the walk. The rep stays in control of the conversation, and the data gets captured at the same time.

System Coach lets them practice before the shift

Live scenario practice on the most common objections: payment, trade, credit, timeline, switch. Reps rehearse the moment before they face it on the lot.

Manager visibility creates automatic accountability

Reps who log CNAs know their managers can see the pipeline. The accountability is built into the workflow, not bolted on as another report.

The Compounding Advantage

See what your buyers are asking for, before they walk.

Most stores manage from last month's closed deals. Entake shows you what's actively being shopped on your floor and what your trading area is asking for, right now, this week.

The longer your store runs Entake, the more your buyer data compounds: first into floor-level demand, then local market views, then regional patterns. Most dealerships never see this data at all.

Built For

Built for stores where every missed deal matters.

Entake is built for independent and growing dealerships that need better sales execution without adding another bloated vendor platform.

30 to 120 units per month
Active desk manager or owner involvement
Salespeople with uneven skill levels
Inconsistent CNA or discovery process
Missed switches, weak follow-up, unclear deal notes
Managers who want to coach from facts, not stories

Each role on the org chart gets a different piece of the system, and a different reason it matters.

Dealer Principal

Stop buying inventory from last month's sales report alone.

You're stocking from what closed. Entake shows you what your floor is actually working, and what your trading area is asking for, before the next order hits the auction. That's a decision-quality advantage no competitor has unless they're also using Entake.

  • Real-time demand data across your rooftops
  • Local market intelligence for your trading area
  • Accountability without micromanaging the floor
General Manager

Know which deals are real before your manager gets the excuse.

Right now, you find out what a customer wanted when the deal falls apart. With Entake, every active buyer profile is visible to you (payment, vehicle, trade, timeline) before the rep ever needs help. You work the floor with information, not guesswork.

  • Every buyer profile visible before the desk
  • Structured data from every rep, every conversation
  • Faster ramp for new hires with guided practice
Sales Manager

Coach from a record, not from memory.

When discovery is structured and captured, you can actually see where it broke down: whether the rep got the payment, asked about the trade, built vehicle certainty. No more he-said-she-said about what happened on the lot. And your floor stops losing data every time a customer walks.

  • See every rep's discovery quality, not just their close rate
  • Behavior-based coaching queue from real data
  • Consistent process so the data is actually comparable
FAQ

Straight answers.

Questions we hear from dealers before they get started.

Is Entake software or a service?
Both, and that is the whole point. You get the software, and you get us. We install it, set up your team, and then we are on the phone with you every week until your whole staff is running it. Not a check-in. A real call, until we are both sure it stuck. Most vendors hand you a login and disappear. That is why most dealership software sits unused by month three.
What data does the CNA actually capture?
The CNA captures 30+ structured data points per customer: full buyer profile (name, contact, salesperson), vehicle preferences (new or used, type, specific model, features priority), financial profile (payment comfort range, down payment type and amount, trade-in vehicle and equity), credit self-assessment, purchase timeline, and free-form notes from the conversation. All of it stored, searchable, and visible to managers, not locked in a rep's memory or a sticky note.
How is this different from our CRM?
A CRM records what happened after the deal started: contact info, lead source, deal stage, gross. Entake captures what happens before the deal starts: what the customer actually wants, what they can pay, what they're trading, when they're ready. Your CRM can store notes. Entake structures the conversation before the desk ever sees the deal. And when a buyer is ready, Entake pushes an enriched buyer profile into your CRM so the desk starts with real intelligence instead of a name and a phone number.
How does Entake make us money?
Entake helps management see buyer intent earlier, identify missed switches, coach weak discovery, and prioritize closeable opportunities before they go cold. The financial lift comes from better deal control, better rep execution, cleaner follow-up, and fewer customers leaving without management ever knowing why. The cost of one mishandled deal a month covers Entake. The cost of one missed switch a week is a different conversation entirely.
Do my salespeople have to change their whole process?
No. Entake gives the conversation structure. It does not force your store into a scripted, robotic process. Reps still sell like humans; they just have a structured way to capture the conversation as they go. Management gets consistent data from every interaction without turning the sales floor into a call center.
We already do training. Why is this different?
Most dealership training is event-based: a week of onboarding, a quarterly meeting, maybe a YouTube playlist. Entake is continuous. Reps use it daily, not because they're required to, but because it makes them better at their job on the same day they use it. And critically, the training system is the same system that captures buyer data. You're not running two separate tools; the rep practice and the customer discovery happen in the same platform. That is the difference between renting a trainer for a week and installing a standard.
My reps won't use another app. Why would they use this one?
Because it makes them better at their job on the same day they use it. System Coach practice in the morning leads to better objection handling in the afternoon. VIN decode on the lot means they sound like a product expert in front of a customer right now. The mobile-first design is as fast and easy as anything else on their phone. And reps who log CNAs know their managers can see the pipeline, which creates its own accountability without constant follow-up.
How long does it take to implement?
Reps can be active on the platform within their first week. Full setup, including branded login, team access, and methodology configuration, is done in the first session. There is no IT integration required and no months-long rollout. Your store starts capturing buyer data from the first shift. The market intelligence builds from there.
Is this for one rooftop or dealer groups too?
Both. Each rooftop gets its own branded environment, its own team, and its own admin. Group-level intelligence across all stores is available for dealer principals, including cross-rooftop demand comparisons and regional market views. The multi-tenant architecture was built specifically to scale across rooftops without losing per-store detail.
What if I already have a DMS and a CRM I'm happy with?
Entake doesn't replace either one. Your DMS handles units and deals. Your CRM handles pipeline and follow-up. Entake fills the gap they both leave open: the actual buyer conversation, before a deal ever exists. And when a buyer is ready, Entake pushes a fully structured buyer profile into your CRM so the deal desk starts with real intelligence instead of just a name and a phone number.
